Voelkner

On this page you will learn how to download and install the plugins Mirakl and Voelkner. Mirakl is the platform via which Voelkner is connected.

1. Registering with Voelkner

You need your Voelkner login details consisting of the user name and password. You will receive this data from Voelkner. First, you have to create a user account for Voelkner .

2. About Voelkner

The Mirakl Connector plugin connects the marketplace Voelkner with your plentymarkets system. The plugin enables you to automatically exchange item and order data between plentymarkets and the market Voelkner. This way, you can list your items on Voelkner.

3. Downloading the plugins Mirakl Connector and Voelkner

You need a plugin to link plentymarkets to Voelkner. In order to use the Voelkner plugin, download it in the plentyMarketplace .

To use the Voelkner plugin, you also need the Mirakl Connector plugin. Mirakl is also available in the plentyMarketplace .

4. Installing Mirakl Connector

Install the Mirakl Connector plugin as described below.

Installing plugins:

  1. Go to Plugins » Plugin set overview.

  2. Open the plugin set you want to edit by clicking on the line in the table.
    Note: The plugin set must be linked to the main client.
    → The plugin set opens.

  3. Click on Add new plugin.

  4. Select Mirakl Connector from the plugin list.
    → Information about Mirakl Connector is displayed.

  5. Select the version you want to install from the Select version drop-down list. The newest version is selected by default.

  6. To install the plugin, click on Install.
    → The plugin is installed.
    → After installation has finished, the plugin set opens.
    → Now you can configure the plugin. To do so, proceed as described below.

  7. Switch the plugin active ().

  8. Save () the plugin set.
    → If there’s a problem with saving the plugin set, click on View details to receive further information.

5. Installing the Voelkner plugin

Proceed as described below to install the Voelkner plugin.

Installing plugins:

  1. Go to Plugins » Plugin set overview.

  2. Open the plugin set you want to edit by clicking on the line in the table.
    Note: The plugin set must be linked to the main client.
    → The plugin set opens.

  3. Click on Add new plugin.

  4. Select Voelkner from the plugin list.
    → Information about Voelkner is displayed.

  5. Select the version you want to install from the Select version drop-down list. The newest version is selected by default.

  6. To install the plugin, click on Install.
    → The plugin is installed.
    → After installation has finished, the plugin set opens.
    → Now you can configure the plugin. To do so, proceed as described below.

  7. Open the Set priorities menu.

  8. Set the priority of Voelkner to 1.

  9. Save the priorities.

  10. Switch the plugin active ().

  11. Save () the plugin set.
    → If there’s a problem with saving the plugin set, click on View details to receive further information.

Learn on this page how to set up the interface to Voelkner. First, you have to carry out some preparatory settings in your plentymarkets system.

6. Activating the order referrer

An order referrer tags an order with the sales channel on which the order was generated. You also need to activate the order referrer in order to link items, characteristics etc. with Voelkner. Go to Setup » Orders » Order referrer to activate the order referrer.

Activating the order referrer for Voelkner:

  1. Go to Setup » Orders » Order referrer.

  2. Activate the referrer Voelkner.

  3. Activate the referrer Mirakl.

  4. Save () the settings.

7. Defining a sales price

Sales prices define the conditions under which a variation is sold at a specific price and on a specific sales channel. That means that to sell variations on Voelkner, you need a sales price in which the order referrer Voelkner is activated. The price that you save for this sales price is the price that will be shown on Voelkner.

Defining a sales price for Voelkner:

  1. Go to Setup » Item » Sales prices » [Open sales price].
    Tip: No sales prices? Then create a new sales price first.

  2. Open the Settings tab.

  3. Activate the referrer Voelkner.

  4. Activate the referrer Mirakl.

  5. Save () the settings.

8. Creating properties

Using properties, you can export fields to the marketplace that aren’t defined in plentymarkets by default. For further information on properties, refer to the Characteristics and properties page.

The following properties are automatically available in your plentymarkets system and will be mapped in the assistant:

  • Logistics class

    • This is the link of a variation with a certain market shipping profile. You can see the market shipping profiles in the market back end in the Platform settings > Shipping menu. The value in brackets is the value that has to be transferred.

  • Leadtime to ship

    • The so-called leadtime-to-ship is the time that a seller needs from the order acceptance to the shipping registration. Here, a whole number between 1 and 45 has to be transferred.

  • Reverse charge

    • This is the so-called Reverse-charge procedure. You can either transfer true or false.

  • update-delete

    • The option to delete an offer. If no value is selected at the variation, the market used update by default.

9. Generating the API key

To create the connection for Voelkner between plentymarkets and Mirakl, you need an API key. To generate the API key, proceed as follows:

Generating the API key:

  1. Open the Mirakl back end.

  2. Click on the user icon ().

  3. Go to the API keys tab.

  4. Generate a new API key for Voelkner.

  5. Copy the API key to your clipboard. You need this key to set up your Voelkner account in plentymarkets.

10. Completing the Voelkner assistant

Use the VoelknerExtension assistant in the Setup » Assistants » Plugins » [Select plugin set] menu to set up your Voelkner account in plentymarkets.

Carrying out settings in the assistant:

  1. Go to Setup » Assistants » Plugins » [Select plugin set].

  2. Click on the assistant VoelknerExtension.

  3. Follow the instructions on the screen. If you need additional information about one of the options, expand the info box shown below this instruction ().

  4. In the step Summary, check your settings to makes sure they are correct.
    Tip: Click on the arrow in the step Summary () to show the settings.

  5. If everything is as it should be, click on Finalise.
    → The settings are saved.

Select an API environment from the drop-down list. Get in touch with your contact person at Voelkner to confirm which API environment you should select.
Note: If you switch to another API environment, e.g. from Test to Productive mode, you need to generate a new API key.

Enter the API key that you generated.
Note: If you switch to another API environment, e.g. from Test to Productive mode, you need to generate a new API key.

Client selection

Select the client that your orders should be assigned to.

Select processes for data exchange. This selection determines which data is exchanged between plentymarkets and Mirakl.

Step Refund mapping

Map the refund reasons of Voelkner to plentymarkets order statuses.

  1. Click on Add new entry.
    → A new line is inserted.

  2. From the drop-down list on the left, select the plentymarkets status.

  3. From the drop-down list on the right, select one of the Voelkner refund reasons.
    The following reasons can be sent to Voelkner:

    • 15 = Out of stock

    • 16 = Cancelled by client prior to shipping

    • 17 = Item returned

    • 18 = Item not received

    • 19 = Agreement found with the vendor

  1. Click on Add new entry.
    → A new line is inserted.

  2. From the drop-down list on the left, select the plentymarkets status.

  3. From the drop-down list on the right, select a Voelkner cancellation reason.
    The following reasons can be sent to Voelkner:

    • 34 = Cancellation: Wrong item ordered

    • 35 = Cancellation: Unwanted payment method

    • 37 = Cancellation: Delivery time too long

    • 39 = Agreement reached between customer and vendor

Select the warehouse you want to use for stock export. For each warehouse, enter the address in the following format:
Name of the warehouse, Any Street 1, 12345 Any Town

For each shipping profile in plentymarkets, enter the corresponding abbreviation of the shipping service provider. You can find the abbreviations in the Mirakl menu Platform settings » Shipping.

From the drop-down list Logistic class, select the property Voelkner Logistic class.
The Leadtime to ship and Reverse charge properties are selected by default.

  • Reverse charge: This is the so-called Reverse-charge procedure. You can either transfer true or false.

  • Leadtime to ship: The so-called leadtime-to-ship is the time that a seller needs from the order acceptance to the shipping registration. Here, a whole number between 1 and 45 has to be transferred.

  • Logistics class: This is the connection of a variation with a certain market shipping profile. The shipping profiles of the market are listed in the back end in the Platform settings » Shipping menu. The value in brackets is the value to be transferred.

  • update-delete: This is the option to delete an offer. If this field is not filled, update will be used automatically.

  • product-id-type: This field does not have to be defined. SHOP_SKU is transferred by default.

  • Base price gross content quantity: Here you can define the gross content quantity for the base price at the variation.

  • Product base price unit of measurement: Here you can define the unit of measurement of the base price unit at the variation. Valid values are KG, L, M, M2 or M3.

Here you can define the amount of stock that is exported for variations that are not limited to net stock or for variations where no stock is managed. Offer data of these variations is transferred once a night.

11. About automatic data exchange

After installing and setting up the plugin, the automatic processes described in Table 1 become available:

12. Setting up the item export

Item data is exported to Voelkner via marketplace formats. Go to Data » Catalogues to create catalogues.

If you want to sell your products in multiple Voelkner product categories, create a separate catalogue for each of them. Link the Voelkner data fields with the item data saved in plentymarkets in the marketplace format afterwards. Once you’ve activated a catalogue, plentymarkets automatically exports the catalogue templates to Voelkner on a daily basis.

If there’s a problem during export, you can find the related log entries on Mirakl and not the plentymarkets log.

12.1. Creating a catalogue in the assistant

Proceed as described below to create a catalogue in the assistant.

  1. Open the menu Setup » Assistants » Plugins » [select plugin set].

  2. Click on the assistant Voelkner Catalogue.

  3. Follow the instructions on the screen. If you need additional information about one of the options, expand the Info box below this description ().

  4. In the step Summary, check your settings to make sure they are correct.
    Tip: In the Summary step, click on the arrow () to show the settings.

  5. If everything is as it should be, click on Finalise.
    → The catalogue is created.

  6. Open the catalogue in the Data » Catalogues menu to map the fields.
    Note: Only select bottom level categories. You can find a better overview of the category hierarchy on Miracle by going to My account » My product data settings.

12.2. Mapping data fields in the catalogue

After you have created a catalogue, map the market’s data fields to item data saved in plentymarkets. Check the documentation of the sales channel to find out what data the market expects for the individual data fields.

Using properties

Use properties to export values for marketplace data fields that have no corresponding field in plentymarkets.

  • Navigation When you open a catalogue, the view Mapping is shown by default. Use the navigation to switch to other views of the catalogue. Access the catalogue settings or set filters to only export specific data. You can also go back to the catalogues overview or create a new catalogue.

  • Toolbar The toolbar provides actions for the catalogue. For example, save your mappings, restore an older version of the catalogue or hide or show optional marketplace data fields.

  • Marketplace data fields To the right of the navigation, all data fields available for the market are listed. Mandatory fields are marked with an asterisk (✱).
    Tip: Click on the further actions () in the toolbar to show or hide optional data fields.

  • plentymarkets data fields The left side of the catalogue is where you map the marketplace data fields with suitable plentymarkets data fields. In the screenshot, a few of the fields are already mapped.

Mapping catalogue fields:

  1. Go to Data » Catalogues.

  2. Click on the catalogue.
    → The Mapping tab opens.
    → In the left-hand column, the market’s data fields are listed.
    Tip: Mandatory fields are flagged with an asterisk (*).
    → In the right column, you map the plentymarkets data fields. Any plentymarkets data fields that are already assigned are also shown in the right column.

  3. Now, map suitable plentymarkets data fields to the market data fields.
    You can choose from the following mappings which are described in the info boxes below:

    • Simple 1:1 mapping

    • Complex 1:1 mapping

    • 1:1 mapping with fallback data fields

    • 1:n mapping

    • Own value mapping

  4. Save () the catalogue.
    → The mappings are saved.

Simple 1:1 mapping: 1 marketplace data field, 1 plentymarkets data field

In a simple 1:1 mapping, you map a plentymarkets data field to the marketplace data field. If no suitable setting exists in plentymarkets, you can map a property instead.

As such, simple 1:1 mappings allow you to:

  • I want to fill this marketplace data field with the data from this plentymarkets setting.

  • If the data field is empty for a variation, no value is exported for this variation.

Creating a simple 1:1 mapping:

  1. Next to the marketplace data field, click on + Add data field.
    → To the left, the list of available plentymarkets data fields are shown in groups.

  2. Click on a group to expand the associated plentymarkets data fields.
    → The plentymarkets data fields are shown.

  3. Click on the plus to the right of the plentymarkets data field you want to select.
    → The plentymarkets data field is added to the right.

  4. Click on Confirm.

Example: Sales price and RRP

Like with the simple 1:1 mappings, you map a plentymarkets setting or property to a marketplace data field. Complex mappings are necessary if a marketplace data field has more than one possible value. Instead of mapping data fields, for complex mappings you instead map the values of these data fields. For example, you cannot simply map the plentymarkets data field Shipping profile to the marketplace data field Shipping method. This is because the market cannot know which of your shipping profiles in plentymarkets corresponds to which of their shipping methods.

Do not enter own values for complex mappings. All values that you enter must be saved for the variations, either in a setting or as a property value. This also applies if the value Comparative value is shown. You still need to enter exactly the value of the setting or property that you mapped.

Examples of complex 1:1 mappings are:

  • Categories

  • Brands

  • Shipping setting

You can recognize complex mappings from the field that is shown below the name of the marketplace data field. Click on the field to show the values available for the marketplace data field.

Creating a complex 1:1:n mapping:

  1. Click on the field for the marketplace data field.
    → A list of the available values is shown.

  2. Select the value that you want to map a plentymarkets data field to.
    → The value is mapped.

  3. Next to the marketplace data field, click on + Add data field.
    → To the left, the available plentymarkets data fields are listed in groups.

  4. Click on a group.
    → The plentymarkets data fields are shown.

  5. Click on the plentymarkets data field for which you want to map values.
    Important: Do not map own values or properties of the type None.
    → Your next steps depend on the plentymarkets data field you selected:

    • Alternative 1: The available values for the plentymarkets data value are shown on the left.

      • Next to the value you want to select, click on the plus.
        → The value is added to the field on the right.

      • Click on Confirm.

    • Alternative 2: The plentymarkets data field is inserted and the field Comparative value is shown.

      • In the field Comparative value, enter a value that is saved in the setting or the property of the mapped plentymarkets data field.

      • Click on Confirm.

    • Alternative 3: The plentymarkets data field is inserted and a drop-down list is shown.

      • Select a value from the drop-down list.

      • Click on Confirm.

In a 1:1 mapping with fallback data fields, you map a plentymarkets data field to the marketplace data field. In addition, you specify one or more fallback data fields. This ensures that the system keeps looking if the first plentymarkets data field is empty or contains an invalid value.

So this mapping specifies:

  • I want to fill this marketplace data field with the data from this plentymarkets setting.

  • If the data field is empty or invalid for a variation, the first fallback data field is checked and the value of that fallback data field is exported instead.

  • If the first fallback data field also is empty or invalid for a variation, the value of the second fallback data field is exported and so on.

Creating a 1:1 mapping with fallback data fields:

  1. Next to the marketplace data field, click on + Add data field.
    → To the left, the list of available plentymarkets data fields are shown in groups.

  2. Click on a group to expand the associated plentymarkets data fields.
    → The plentymarkets data fields are shown.

  3. Click on the plus to the right of the plentymarkets data field you want to select.
    → The plentymarkets data field is added to the right.

  4. In the list of plentymarkets data fields, click on the plus icon next to the plentymarkets data field that you want to map.
    → The fallback data field is exported when the first data field does not exist or is empty.
    Note: Even if you assign one or more fallback data fields, the value of only one of those fields is exported. For each variation, the mapped plentymarkets data fields are checked in the order in which you mapped them. This means that if the first data field does not provide a value for a variation, the first fallback data field is exported etc.

  5. Click on Confirm.

In a 1:n mapping, you map several plentymarkets data fields to the marketplace data field. You can link these data fields with a separator.

So this mapping specifies:

  • I want to combine these plentymarkets data fields during export so that the marketplace data field is filled with the data of these two or more plentymarkets settings.

Creating a 1:n mapping:

  1. Next to the marketplace data field, click on + Add data field.
    → To the left, the list of available plentymarkets data fields are shown in groups.

  2. Click on a group to expand the associated plentymarkets data fields.
    → The plentymarkets data fields are shown.

  3. Click on the plus to the right of the plentymarkets data field you want to select.
    → The plentymarkets data field is added to the right.

  4. Click on Confirm.

  5. To the right of the mapped plentymarkets data field, click on Add data field ().
    → To the left, the list of available plentymarkets data fields again are shown in groups.

  6. Map one or several additional plentymarkets data fields to the marketplace data field as described above.

  7. Click on Confirm.

  8. To the very right of the row, click on Settings ().

  9. Select a separator from the drop-down list Separator or add a custom separator.

  10. Save the settings.

  11. Save () the catalogue.
    → The mappings are saved.
    → During the export, the content of the plentymarkets data fields is combined and exported as one field.

Own value mapping: 1 marketplace data field, the same value for all variations

You are sure that you want to export the same value for all variations of a catalogue for a marketplace data field? Then specify an own value. This own value is then exported for all variations.

So this mapping specifies:

  • For this marketplace data field, I want to export the value that I entered in the field Own value for all variations of this catalogue.

Creating an own value mapping:

  1. Next to the marketplace data field, click on + Add data field.
    → To the left, the list of available plentymarkets data fields are shown in groups.

  2. Click on the plus next to Own value at the top of the list.
    → The field for the own value is added to the view.

  3. Enter a value into the input field.
    → This value is exported for all variations.

Example: Diameter information

You want to export diameter information for some of your variations. The diameter is saved in centimetres for all your variations. Instead of creating a property for the unit and linking this property to the variations, you can enter the own value cm.

This is how you can map an own value for the diameter unit:

Do not map plentymarkets data fields to the following marketplace data fields for the market Voelkner:

  • Product image 1 URL

  • Product image 2 URL

  • Product image 3 URL

  • Product image 4 URL

  • Product image 5 URL

You can ignore the warning shown when you save the mapping.

Brand

Create a property of type Text for this marketplace data field. Create a property value for each type of unit that you use for your products. Be sure to enter the code, not the label.

Tip: Use the attribute help tool to find all possible values.

Note: For this marketplace data field, you cannot use properties of the type Multiple selection. Mapping a property of the type Multiple selection in the catalogue will cause an incorrect transfer.

Product title

Map one or more of the following plentymarkets data fields to this marketplace data field. Use at least 20 and not more than 100 characters.
Note: You can only transfer plain text. HTML tags are not allowed.

  • Name 1

or

  • Name 2

or

  • Name 3

or

  • Property

Content unit of measurement

Create a property for this marketplace data field. Create a property value for each type of unit that you use for your products. Be sure to enter the code, not the label.

Tip: Use the attribute help tool to find all possible values.

Tip: If all your variations for this catalogue have the same content unit, you can export your own value instead of creating a property. For example, to export the unit pieces for every variation, enter unece.unit.C62 in the field Own value.

Sales quantity unit

Create a property for this marketplace data field. Create a property value for each type of unit that you use for your products. Be sure to enter the code, not the label.

Tip: Use the attribute help tool to find all possible values.

Tip: If all your variations for this catalogue have the same sales unit, you can export your own value instead of creating a property. For example, to export the unit “pieces” for every variation, enter ST in the field Own value.

Weight unit

Create a property for this marketplace data field. Create a property value for each type of unit that you use for your products. Be sure to enter the code, not the label.

Tip: Use the attribute help tool to find all possible values.

Tip: If all your variations for this catalogue have the same weight unit, you can export your own value instead of creating a property. For example, to export the unit “gram” for every variation, enter unece.unit.GRM in the field Own value.

Variation group

The data field Variantengruppe (variation group) is used to group products, i.e. to tell the market what a number of products have in common. As such, map the plentymarkets data field Item ID to this field.

Variation

The data field Variante (variation) is used to differentiate products. It tells the market in what ways a number of products are different from each other. That’s why you map this field to the property you previously created for variations.

Tip: If you distinguish your variations only by a single attribute, you can also map the Attribute value name.

Product-ID (of the seller)

Map the following plentymarkets data field to this marketplace data field:

  • SKU

Map the following plentymarkets data field as fallback data field:

  • Variation ID

12.3. Creating additional properties

If you’ve defined more than one attribute for any of your variations, create a property that combines these attributes. For example, if you distinguish a variation both by colour and by size, you can create a property called “Grey XL”. Then, link these properties to the respective variations.

In addition to the properties described previously, you need properties for all data fields of the marketplace whose data you want to export, but that don’t exist in plentymarkets by default. You can see by the data fields in the catalogue which properties you need. Is this your first time working with properties? For further information, refer to the item Properties page.

After you created a marketplace format for Voelkner with the VoelknerExtension Catalog assistant or manually, the property Voelkner is created in your plentymarkets system. A new selection value is added to the Voelkner category group property for each category selected in the Settings step of the assistant. In order for your variations to be exported in the appropriate catalogue, they have to be linked to the Voelkner category group property in the Properties tab of a variation.

Linking a variation to a category:

  1. Go to Item » Edit item » [Open item].

  2. Click on the Variations tab.

  3. Open the variation that should be linked.

  4. Open the Properties tab.

  5. In the Variation properties area, select the property Voelkner category group from the Properties drop-down list and click on Add ().
    → The property is added.

  6. Select the desired category group from the Value drop-down list for the Voelkner category group property.
    → The variation will be exported in this catalogue.
    Example: If you pick the value VHS cassettes, the catalogue variation is exported for the VHS cassettes category.

  7. Repeat steps 5 and 6 for all categories where you want to offer the variation.

  8. Save () the settings.

  • via import: Go to Setup » Settings » Properties » Configuration, open the property VoelknerExtension category mapping and click on Values. You can find there the selection value IDs that are needed for the import.

  • via REST API: Use the REST routes from the areas Property  and Item  to link the catalogue with the variation.
    Note: If no marketplace category is available in the assistant VoelknerExtension Catalog, you might have entered the wrong API environment in the Authentication step of the assistant VoelknerExtension.

All properties, sales prices and barcodes that you have created for mapping them in the catalogue now need to be linked to the variations that you want to export to the market. This is described on the Item pages of the manual:

14. Activating the catalogue export

You have set up Voelkner and created a catalogue for exporting your item data? Then start the export of your item data.

Activating the catalogue export to Voelkner:

  1. Go to Data » Catalogues.
    → The catalogues are listed.

  2. Scroll to the Voelkner catalogue.

  3. In the Active/Inactive column, move the toggle button () to the right.
    → The catalogue is active.
    → Catalogue data is exported to Voelkner daily.

14.1. Transferring marketplace-specific values

The marketplace requires specific values for most of the attributes in order to be able to transfer product data. Currently, these values are, however, not yet saved at the variation.
Example: For example, it is not allowed to enter test for the attribute Brand. You have to transfer the corresponding code in this case - in this example BRAND_12345678.

15. Using the attribute help tool

The so-called attribute help tool allows you to search for the different attributes. The tool then returns the values that are currently valid for the attributes. To use this tool, the assistant VoelknerExtension must have been completed. You can find the tool under the following URL: domain/Voelkner_extension/attribute_values. Replace domain with your plenty domain. For example, if your domain was called https:://www.my-plenty-domain.com, the URL would be set up as follows:
https://www.my-plenty-domain.com/voelkner_extension/attribute_values.

Go to the attribute help tool and enter SAP.TaxIndicator in the search field to find the valid values for VAT class. Enter SAP.BaseUnits to find the valid values for Sales unit.

The table of the valid attribute values is updated over night. Once the plugin has been installed for the first time, the valid values will not be displayed until the following day.
In case you entered the wrong API environment and/or the wrong API key, the valid values cannot be loaded.

In the catalogue you will find the names of the marketplace attributes, such as Brand. To find out which values are valid for a specific attribute, proceed as follows.

Using the attribute help tool:

  1. Call the URL as described above.

  2. Enter the name of the attribute into the search or use Strg+F or Cmd+F to browse the list of results.
    → The attribute is shown in the Attribute label column.
    → The column Value Code lists the valid values that have to be transferred for the attribute values listed in the Value Label column.

15.1. Mapping and transferring valid attribute values

In case there are different attribute values that might be valid depending on the variation that you want to transfer, the first question is how you keep your item data up-to-date. If you manage your item data manually, it is recommended to use a property of the type Selection. You can save a description for the selection here. This description will then be shown in the property overview at the variation. Once the code was mapped to the property, you can use the real name of the variation in the field Description. This means the code is transferred via the catalogue and the real name is shown in brackets behind.

Tip: If you always want to transfer only one single value for an attribute, e.g. you want to use always BRAND_12345678 for the brand, you can use the option Own value in the catalogue.

16. Transferring product and offer data

The listing process at Voelkner takes place in two steps: First, the products are created. Then, after the marketplace has approved the product data, offers for the created products can be activated. Both export processes, their requirements as well as transfer options are described in the following sub-chapters.

16.2. Transferring product data

In this chapter, you will learn how to transfer product data to the marketplace and which requirements have to be met. This data comes from the catalogue VoelknerExtension Catalog that you created.

16.3. Requirements for transferring product data

  • The plugins Voelkner  and Mirakl Connector were purchased and downloaded from plentyMarketplace and installed in a plugin set.

  • The order referrers Voelkner and Mirakl were activated in the Setup » Orders » Order referrer menu.

  • The basic settings were carried out in the Setup » Assistants » Plugins » [select plugin set] » VoelknerExtension menu. In order to transfer product data, activate the option Export products in the step data exchange.

  • In the Setup » Item » Sales prices menu, the order referrers Mirakl and VoelknerExtension have been activated on an existing price or a new sales price has been created for which the order referrers Mirakl and VoelknerExtension were activated.

  • You already created a catalogue for the data transfer.

What connection exists between the offer fields, the product export field and the Marketplace SKU at the variation?

In general, the offer fields sku and product-id are always filled with the value that has been defined for the marketplace at the variation in the field Marketplace SKU. The offer field product-id-type is transferred with the value SHOP_SKU by default, but can also be overwritten by another value, such as SKU. To do so, select the property for the Product ID Type SKU at the variation and in the assistant step Offer properties mapping, map the property to the respective data field. The product export field Product-ID (of the seller) is filled depending on the mapping in the catalogue.

During the first data transfer which takes place overnight, in plentymarkets, the Marketplace SKU at the variation is automatically created from the Variation ID. Alternatively, the Marketplace SKU can be defined via import or manually.

Tip: In the catalogue, map the Marketplace SKU to the data field Product-ID (of the seller). Select the Variation ID as fallback data field.

16.4. Updating product data

You can update the product data at any time. However, this does not apply to the following product data:

  • Packaging units

  • Manufacturer Part Number

  • Seller’s item number (Variation ID)

If you want to adjust one or several of the above-mentioned fields, you have to delete the product first and then transfer it again. To do so, proceed as follows.

Updating product data:

  1. Go to Setup » Settings » Properties » Configuration.

  2. Create a property of the type Text.

  3. Enter a name, for example Delete marketplace product.

  4. Go to Data » Catalogues.

  5. Open the corresponding catalogue.

  6. Map the property that you just created for deleting the product to the data field Invalidation Marking or InvalidationFlag.

  7. Open the assistant.

  8. Go to the step Offer properties mapping.

  9. Map the data field update-delete to the property Voelkner Update-Delete.

  10. At the variation that you want to delete, select the selection value delete.
    Note: A change in stock or price at the variation may take some time. Alternatively, you can change it manually.

  11. Wait until the next offer transfer.
    → This can take up to 15 minutes.

  12. Deactivate the market availability for the marketplace and Mirakl at the variation.

  13. Remove the property for the catalogue link from the variation.

  14. Manually delete the product’s offer in the back end of the marketplace.

  15. At the respective variation, activate the property that you created for deleting the product and enter the value kill.

  16. Activate the property for the catalogue link at the variation.

  17. Wait until the next product transfer.
    → This takes place over night.

  18. Once you have deleted the product, you need to wait 24 to 48 hours until you can use the same Product ID again.

  19. As soon as the waiting time is over, remove the property that was created for deleting the product from the variation.

  20. Activate the market availability again for the marketplace and Mirakl.

16.5. Matching EANs

Voelkner offers an EAN matching. Ask your contact person of the marketplace to provide you with a list of your EANs. In case your EANs are already listed on Voelkner, you will receive a table with the EANs and the corresponding SKUs afterwards. For these values, it is not necessary to transfer the product data. You can directly create an offer by using the provided SKUs. The SKU has to be imported as Marketplace SKU at the variation and sku has to be selected as product-id-type at the variation. Make sure that you do not define a property value for the property Voelkner category group at these variations.

16.6. Transferring offer data

In this chapter, you will learn how to transfer offer data to the marketplace and which requirements have to be met. The data comes from the VoelknerExtension assistant which you already completed.

16.7. Requirements for transferring offer data

  • The plugins Voelkner  and Mirakl Connector were purchased and downloaded from plentyMarketplace and installed in a plugin set.

  • The order referrers Voelkner and Mirakl were activated in the Setup » Orders » Order referrer menu.

  • The basic settings were carried out in the Setup » Assistants » Plugins » [Select plugin set] » VoelknerExtension menu.

    • Synchronise stock is activated in the step data exchange so that the offers are transferred correctly.

  • In the Setup » Item » Sales prices menu, the order referrers Mirakl and Voelkner have been activated on an existing price or a new sales price has been created for which the order referrers Mirakl and Voelkner were activated.

Offer data is transferred every 15 minutes. Only items that meet the following requirements are transferred:

  • The order referrers Mirakl and Voelkner are activated at the variation.

  • A price that was activated for Voelkner, Mirakl and WEB API is active at the variation.

  • A shipping profile that has been activated for Voelkner, Mirakl and WEB API is active at the variation.

  • A value is specified for Voelkner as Marketplace SKU at the variation.

  • The stock or the price was changed at the variation within the last 15 minutes.

    • Setting a new time stamp via the group function or batch processing also results in a transfer of the variation. Thus, the stock limitation To net stock or None has to be selected at the variation and the variation needs to have positive stock.

Error reports for product and offer data transfers to Voelkner can be accessed and downloaded in the menus Data » Voelkner Product Reports and Data » Voelkner Offer Reports.

Further data fields that are transmitted during the offer transfer

  • sku and product-id: These fields are automatically filled with the value that has been specified as Marketplace SKU at the variation.

  • product-id-type: This field is filled with the value SHOP_SKU by default.

  • price: This field is automatically filled with the value hat has been defined at the variation for the price that was activated on the marketplace. In case several sales prices were defined at the variation that are also available for the marketplace, the price with the lowest ID will be exported.

  • quantity: This field will be automatically filled with the net stock or the total net stock from the warehouses that have been selected in the VoelknerExtension assistant in the step Warehouse Selection.

  • min-quantity-alert: This field will be automatically transferred with the value 1.

  • state: This field is transferred automatically with the value 11. In the assistant step Offer properties mapping you can map a property in order to transfer a different value per variation.

  • available-start-date: This field will be automatically transferred with a timestamp.

  • price-ranges: In this field, one or several sales prices will be transferred.

  • allow-quote-requests: This field will be automatically transferred with the value false.

  • logistic-class: This field is empty by default. If no value is transferred, the variation is linked to the free shipping profile Free Shipping (FS). In the assistant step Offer properties mapping you can map a property in order to transfer a different value per variation. You can find the valid shipping profile codes in the Voelkner back end under Platform settings » Shipping. The codes are displayed in parentheses.

  • leadtime-to-ship: This is a mandatory field, which is empty by default. In the assistant step Offer properties mapping you can map a property in order to transfer a different value per variation. Only integers between 1 and 45 are valid here.

  • reversecharge: This is a mandatory field, which is empty by default. In the assistant step Offer properties mapping you can map a property in order to transfer either true or false per variation.

  • min-order-quantity: This field is transferred automatically with the value Min. order quantity saved for the variation.

  • max-order-quantity: This field is transferred automatically with the value Max. order quantity saved for the variation.

17. Setting the variation availability

You need to activate the variations that you want to sell on Voelkner. This is done in the Availability tab of a variation within the Item » Edit item » [Open item] » [Open variation] menu.

Activating variation availability

Do not activate the availability on the variation until a marketplace SKU has been defined on the variation or the variation has been transferred via the product export.

Making a variation available for Voelkner:

  1. Go to Item » Edit item » [Open item] » [Open variation].
    → The tab Settings of the variation is shown.
    Tip: To sell all variations of an item on Voelkner, carry out the settings for the item’s main variation. This activates the availability of all variations of the item.

  2. In the Availability area, activate the option Active.

  3. Click on the Availability tab.

  4. In the Markets area, click in the selection field.
    → A list of all available markets is displayed.

  5. Activate the option Voelkner.

  6. Activate the option Mirakl.

  7. Click on Add ().
    → The market is added.

  8. Save () the settings.
    → The variation is available for Voelkner.

The variation group function allows you to edit several variations at once. You select the variations that you want to edit.

Making several variations available for Voelkner using the variation group function:

  1. Go to Item » Edit item.

  2. Set the filter Table type to Variations.

  3. Choose additional filters on the left if needed and click on Search ().

  4. Select () the variations to be edited from the overview on the right.

  5. Click on Variation group function.
    → The Variation group function window opens.

  6. Navigate to the area Market availability.

  7. Activate the checkbox to the left of the option Voelkner.

  8. Activate the checkbox to the right of the option Voelkner.

  9. Activate the checkbox to the left of the option Mirakl.

  10. Activate the checkbox to the right of the option Mirakl.

  11. Navigate to the area Availability.

  12. Activate the checkbox to the left of the option Active.

  13. Activate the checkbox to the right of the option Active.

  14. Click on Execute to apply the settings.

Batch processing allows you to edit several variations at once. You use filters to limit which variations are edited.

Making several variations available for Voelkner using batch processing:

  1. Go to Item » Batch processing.

  2. Click on the tab Variations in the upper left corner.

  3. Use the filters on the left to specify which variations should be processed.

  4. Navigate to the area Market availability.

  5. Activate the checkbox to the left of the option Voelkner.

  6. Activate the checkbox to the right of the option Voelkner.

  7. Activate the checkbox to the left of the option Mirakl.

  8. Activate the checkbox to the right of the option Mirakl.

  9. Navigate to the area Availability.

  10. Activate the checkbox to the left of the option Active.

  11. Activate the checkbox to the right of the option Active.

  12. Click on Apply to apply the settings to the variations.


The orders are automatically imported in your plentymarkets system every 15 minutes. Once Voelkner has accepted the order, the payment is collected by Voelkner. With the payment confirmation, the invoice and delivery address on the order are updated in your plentymarkets system. Via an event procedure, the shipping service provider as well as the package number are updated on the order in Mirakl. In the next step, the shipping notification is reported to Voelkner via another event procedure. The invoice created by Voelkner is imported to the order in your plentymarkets system. Via an event procedure, an invoice is sent to Mediamarkt. You can also set up event procedures for refunds.

18. Setting up event procedures

Set up an event procedure to automatically update the order status on Voelkner whenever specific events occur. You can set up the following event procedures:

  • Report shipping confirmation to Voelkner

  • Report order cancellation to Voelkner

  • Report refund to Voelkner

  • Send invoice to Voelkner

How to set up the event procedures in plentymarkets is described in the following chapters.

Additional procedures

In addition to the event procedures listed above, the Voelkner plugin provides several other event procedures. These procedures exist because order processing differs between plentymarkets and Mirakl.

However, we recommend that you only use the procedures described in detail.
