Etsy

Etsy is an American online market focused on handmade and vintage items.

The term “Etsy” is a trademark of Etsy, Inc. This application uses the Etsy API but is not endorsed or certified by Etsy, Inc.

Installing the Etsy plugin

The interface to Etsy is integrated via a plugin. Download the Etsy plugin in the plentyMarketplace in order to use it.

1. Registering with Etsy

In order to set up Etsy in your plentymarkets system, you have to register as a Etsy seller first.

2. Installing the Etsy plugin in plentymarkets

After buying the Etsy plugin in the plentyMarketplace, install the market in the Plugins » Plugin overview menu. Select the filter Not installed or All to display plugins that have not yet been installed. For further information about downloading and installing plugins, see Adding plugins to the system.

2.1. Activating the interface

First, the interface has to be activated in the Setup » Markets » Etsy » Authentication menu. This is to grant plentymarkets access to your Etsy account.

Activating the interface:

  1. Go to Setup » Markets » Etsy » Authentication.

  2. Click on the globe icon ().
    → A new window opens and you are forwarded to Etsy.

  3. Enter your Etsy access data.

  4. Click on Allow access.
    → The interface to Etsy is activated and you can carry out further settings.

2.2. Setting up Etsy in plentymarkets

Pay attention to the Renewal options at Etsy

Prior to setting up Etsy in plentymarkets, you have to set the setting Renewal options to Manual in the Shop-Manager » Listings » [Open listing] menu at Etsy. Otherwise, the Etsy plugin will not work correctly.

Go to Setup » Markets » Etsy » Settings to activate the data exchange.

Activating the data exchange:

  1. Go to Setup » Markets » Etsy » Settings.

  2. In the Processes area, activate the Item export, Stock update, and Order import.

  3. Save () the settings.

Setting up export languages

In the Export languages area, you carry out settings for export languages. The Shop language is exported by default. Other languages are used for translations of your offers.

Setting up export languages:

  1. Go to Setup » Markets » Etsy » Settings.

  2. Select the languages that your offers should be translated into. Available languages are English, German, and French.
    Note: The defined Shop language is exported by default.

  3. Save () the settings.

3. Activating the order referrer

An order referrer tags an order with the sales channel on which the order was generated. You also need to activate the order referrer in order to link items, characteristics etc. with Etsy. Go to Setup » Orders » Order referrer to activate the order referrer.

Activating the order referrer for Etsy:

  1. Go to Setup » Orders » Order referrer.

  2. Activate the option Etsy.

  3. Save () the settings.

4. Setting the variation availability

You need to activate all variations that you want to sell on Etsy. This is done in the Availability tab of a variation within the Item » Edit item » [Open item] » Tab: Variation ID menu.

Use group function or batch processing

You can edit the availability of several variations at once by using either the variation group function or batch processing.

Setting the variation availability for Etsy:

  1. Go to Item » Edit item » [Open item] » Tab: Variation ID » Tab: Settings.

  2. Open the variation that you want to sell on Etsy.
    Tip: To sell all variations of an item on Etsy, carry out the settings for the item’s main variation. This activates the availability of all variations of the item.

  3. In the Availability area, activate the option Active.

  4. Click on the Availability tab.

  5. In the Markets area, click in the selection field.
    → A list of all available markets is displayed.

  6. Activate the option Etsy.

  7. Click on Add ().
    → The market is added.

  8. Save () the settings.
    → The variation is available for Etsy.

5. Saving existing Etsy listing IDs

If you already sell a variation on Etsy, save the Etsy listing ID as an SKU for the referrer Etsy. By doing so, variations will be assigned to the variations already listed on Etsy during the item export. This is to prevent overselling.

Saving an Etsy listing-ID:

  1. Go to Item » Edit item » [Open item] » Tab: Variation ID » Tab: Settings.

  2. Click on the Availability tab.

  3. In the SKU area, click on Add ().
    → The New SKU window opens.

  4. Select the referrer Etsy.

  5. Enter the SKU in the following format:
    [Etsy listing ID]-[plentymarkets variation ID]
    Example: 708093072-3467

  6. Enter the Parent SKU in the following format:
    [Etsy Listing-ID]
    Example: 708093072

  7. Click on Add ().
    → The SKU is saved and displayed.

6. Defining a sales price

Proceed as described below to define a sales price for the order referrer Etsy. This price is displayed on Etsy.

Defining a sales price for Etsy:

  1. Go to Setup » Item » Sales prices » [Open sales price] » Tab: Settings.

  2. Activate the referrer Etsy.

  3. Save () the settings.

7. Setting up the item export

Item data is exported to Etsy via catalogues. The marketplace format Listing - Etsy creates a catalogue for exporting data for all Etsy product categories.

7.1. Creating a catalogue

Item data is exported to Etsy via catalogue using the marketplace format Listing - Etsy. Create a catalogue in the Data » Catalogue menu to export your items to Etsy. Link the Etsy data fields with item data saved in plentymarkets in the marketplace format afterwards. The catalogue data is automatically exported to Etsy once a day if you have activated the Item export in the Setup » Markets » Etsy » Settings menu. Is this your first time working with catalogues? Then read up on the basic principle of catalogues first.

You can create only one catalogue for Etsy. Multiple catalogues are currently not supported for Etsy.

Creating a catalogue:

  1. Go to Data » Catalogues.

  2. Click on Create catalogue.

  3. Enter a name for the catalogue.

  4. In the drop-down list Export type, select the option Listing - Etsy.

  5. In the drop-down list Format type, select the option Item.

  6. In the drop-down list Format, select a category of the marketplace.

  7. Save () the settings.
    → The catalogue is created.
    → The catalogue is opened for editing.

7.2. Mapping data fields in the catalogue

Notes for the Etsy marketplace format

The Shop sections data field in the Listing - Etsy template provides all shop sections that you created at Etsy. The shop sections can be selected from the drop-down list and can be linked to data saved in plentymarkets.

After you have created a catalogue, map the market’s data fields to item data saved in plentymarkets. Check the documentation of the sales channel to find out what data the market expects for the individual data fields.

Using properties

Use properties to export values for marketplace data fields that have no corresponding field in plentymarkets.

Mapping data fields in the catalogue:

  1. Go to Data » Catalogues.

  2. Click on the catalogue.
    → The Mapping tab with the market data fields opens.
    → In the left-hand column, the market’s data fields are listed.
    Tip: Mandatory fields are flagged with an asterisk (*).

  3. To the right of the first marketplace data field, click on Add data field.
    → To the left, the plentymarkets data fields are listed in groups.

  4. Click on a group to expand the associated data fields.
    → The data fields are shown.

  5. Next to the data field you want to select, click on the plus.
    → The data field is added to the view.
    Optional: Do you want to export a fixed value for every variation for one of the market data fields?

    1. Click on the plus next to Own value.
      → The field for the own value is added to the view.

    2. Enter a value into the input field.

  6. Click on the X to close the editing mode.
    → The data field is mapped.

  7. Optional: Do you want to export two or more plentymarkets fields for a single marketplace data field?

    1. To the right of the data field you just mapped, click on Add data field ().

    2. Map an additional plentymarkets data field to the marketplace data field as described above.

    3. To the right of the column, click on Settings ().

    4. Select a separator from the drop-down list Separator or add a custom separator.

    5. Save the settings.
      → The additional data field is mapped. During the export, the content of the two plentymarkets data fields is combined and exported as one field.

  8. Optional: Click on Add fallback data field to select a data field that is exported in case another one is not available or empty. You can also add more than one fallback data field.
    Note: Even if you assign a fallback data field to a market data field, only one value is exported. The fields are checked in the order in which you mapped them. This means that if the first data field does not provide a value, the first fallback data field is exported etc.

  9. Repeat this mapping for all data fields of the market that you want to export.
    Note: All fields flagged with asterisks (*) are mandatory and must be mapped to a plentymarkets data field.

  10. Save () the settings.
    → The mappings are saved.

8. Updating Etsy categories

In order to update Etsy categories in plentymarkets, delete your credentials in the Setup » Markets » Etsy » Authentication menu and add them again.

Updating Etsy categories:

  1. Go to Setup » Markets » Etsy » Authentication.

  2. Click on Delete to delete the credentials.

  3. Click on the globe icon () to add new credentials.
    → You are forwarded to Etsy.

  4. Click on Allow access at Etsy.
    → New credentials are created and saved in plentymarkets.
    → The Etsy categories are updated.

9. Transferring legal information

In order to transfer legal information to Etsy, you have to save the information for each language you use for Etsy. The legal information is then added to the item description.

Saving legal information:

  1. Go to Setup » Markets » Etsy » Legal information.
    → The window Legal information opens.

  2. Select the language in which you want to save legal information.

  3. Enter the text.

  4. Save () the settings.

10. Automatically sending payment confirmations

Set up an event procedure to automatically send payment confirmations to Etsy when incoming payment is booked.

Setting up an event procedure
  1. Go to Setup » Orders » Events.

  2. Click on Add event procedure ().
    → The Create new event procedure window opens.

  3. Enter a distinct name for the event procedure.

  4. Select the event according to Table 1.

  5. Save () the settings.

  6. Carry out the settings according to Table 1.

  7. Place a check mark next to the option Active ().

  8. Save () the settings.

11. Automatically sending shipping confirmations

Set up an event procedure to automatically send shipping confirmations to Etsy when the outgoing items are booked.

Setting up an event procedure
  1. Go to Setup » Orders » Events.

  2. Click on Add event procedure ().
    → The Create new event procedure window opens.

  3. Enter a distinct name for the event procedure.

  4. Select the event according to Table 2.

  5. Save () the settings.

  6. Carry out the settings according to Table 2.

  7. Place a check mark next to the option Active ().

  8. Save () the settings.

12. Assigning user rights

Users with Back end access need rights to use the Etsy plugin. Open the Setup » Settings » User » Rights » User menu to assign rights.

Assigning user rights for back end users:

  1. Go to Setup » Settings » User » Rights » User.

  2. Use the search function and open the account that you want to edit.

  3. Expand the Authorisation: Markets menu.

  4. Select the option Credentials.

  5. Save () the settings.
